About the Role 

Virginkar & Associates, Inc. (VAI), serving clients nationwide, is seeking a Business Development and Marketing Coordinator to join our team. The selected candidate will assist in preparing, finalizing and submitting commercial and technical bid proposals and providing other marketing support to our senior level Business Development leaders. A successful candidate will work closely with Proposal Managers in responding to RFP, RFQ and EOIs from potential clients. The Marketing Coordinator will be the initial contact for most customer interactions and must develop a technical comprehension of the service portfolios that VAI offers to the industry. The candidate will be expected to engage with Prime customers using strong written and verbal communication skills and be able to understand and manage substantial amounts of information to meet deadlines.  

Key Responsibilities  

Proposal Coordination 

Proposal coordination will require producing cohesive, well-organized technical and commercial proposals that are focused on customer-defined requirements. This will consist of various aspects of the proposal development effort, including preparing proposals, administrative tasks such as building templates, proofreading, preparing review drafts and final editions, scheduling meetings and tracking the completion of assignments.  

  • Review proposal instructions and conduct research for appropriate materials; compile and review materials such as project experience descriptions (qualifications), resumes, forms and documents for accuracy, completing and formatting.  

  • Assist the Proposal Manager to create a time-schedule for each document or activity to ensure the timely completion and submittal of proposal by due date. 

  • Prepare sections of a proposal under the guidance of proposal managers. 

  • Assist in the development of any required proposal text. 

  • Proofread and edit proposal text for proper grammar, spelling, comprehension and style. 

  • Create and maintain electronic and hard copy file directory of proposal related documents and correspondence. 

  • Ensure that the required graphic arts materials are ready to be included in the submittal.  

Business Development and Marketing Support 

  • Check the company marketing inquiry email account for potential business RFP, RFQ and EOIs daily. 

  • Check government agency websites for potential marketing opportunities daily and assist in company’s registration for these websites. 

  • Screen and forward potential opportunities to appropriate managers for review. 

  • Assist in the preparation of monthly marketing summaries reflecting new business leads, active proposals and proposal results.  

  • Have the ability to perform Deep Dive market analysis of the industry. 

  • Assist with updating the company project experience descriptions (qualifications) as needed. 

  • Maintain and update various department spreadsheets. 

  • Support business development efforts of senior staff by conducting research for conferences and networking events (email leads, agency news, client liaison, etc.). 

  • Update and maintain Corporate brochure, marketing files and graphics library. 

Qualifications 

  • Minimum 5 years’ experience in business development and marketing in the transit industry. 

  • Bachelor’s degree in business, advertising, marketing, engineering or other relevant fields. 

  • Must be able to work in a fast-paced environment. 

  • Must be able to multitask.  

  • Ability to meet deadlines and produce quality work products for proposals. 

  • Must be computer literate and advanced level in Microsoft Word, Excel, PowerPoint and Outlook. 

  • Experience working in Adobe In-Design a plus. 

  • Strong communication and interpersonal skills with experience working with senior management and clients. 

  • High ethical standards, attention to detail, and commitment to team collaboration.
